Remote | Must be available during Sydney business hours Gardenlust is Sydney’s leading high-end garden maintenance company, trusted by CEOs, creatives, and discerning homeowners to care for their outdoor spaces with elegance and precision. We’re looking for a full-time Virtual & Personal Assistant to join our team and work closely with the Director to support daily operations and premium client experience. This is not a basic VA role — it requires initiative, discretion, task ownership, and a polished communication style. You’ll be helping us maintain efficiency and elegance behind the scenes. Business Support Responsibilities: Client Communication & Admin Answer and make calls to clients, suppliers, and collaborators Respond to emails with professionalism and warmth Prepare and send quotes via ServiceM8 Review and send invoices via ServiceM8 Job Scheduling & Coordination Schedule and reschedule maintenance jobs using ServiceM8 Track task progress, allocate team resources, and update visit details Ensure client preferences and special requests are followed Platform Management: Monday.com Task management and team coordination Data entry and status updates for each job and client Assign internal tasks and monitor timelines Logistics & Operations Place and follow up on plant and material orders Coordinate with suppliers for timely delivery Assist with managing staff requests (e.g. time off, reimbursements) Send employment contracts and onboarding documents Personal Assistant to the Director: Organise and manage the Director’s inbox and calendar Schedule personal and professional meetings Assist with travel planning, reminders, and confidential tasks Communicate with clients and collaborators on behalf of the Director ✅ What We’re Looking For: Perfect spoken and written English – you’ll be representing a luxury brand Experience with Monday.com (required) Willingness to learn ServiceM8 (training provided) Excellent phone manner and proactive communication Extremely organised, independent, and able to manage multiple priorities Professional, discreet, and solution-oriented Experience supporting high-end service providers or creative founders is a plus Full-time availability during Sydney business hours (AEST/AEDT) Job Type & Compensation: Full-time (38+ hours/week) Remote position – must have a quiet working space and stable internet Competitive hourly rate depending on experience Apply Job!
