  • Job Title: Remote Overnight Customer Solutions & Dispatch Specialist
  • Schedule: Tuesday through Saturday, 3:30 PM – 12:00 AM (Second Shift)
  • Pay Rate: Starting at $20.00 per hour
  • Location: Fully Remote (Illinois residency required; initial in-person training in McHenry, IL)
  • Reports To: Office Manager

What You'll Do: Key Responsibilities

As a Remote Overnight Customer Solutions & Dispatch Specialist at arenaflex, you will wear many hats — all centered around delivering world-class service and seamless operational support. Your primary responsibilities will include, but are not limited to:

  • Customer Interaction Excellence: Answer a steady flow of inbound phone calls to schedule service appointments, address customer inquiries, and provide timely, accurate information with empathy and professionalism.
  • Outbound Communication: Initiate outbound calls to confirm appointments, follow up on service requests, and proactively update customers on technician arrival windows and other important details.
  • Strategic Dispatching: Assign the right technician to each job based on a thoughtful evaluation of qualifications, geographic proximity, customer preferences, and current availability — all while optimizing routes and minimizing downtime.
  • Software Proficiency: Leverage industry-leading platforms, including ServiceTitan and ClearPath, to plan, track, and dispatch jobs efficiently. Your comfort with technology will be key to your success.
  • Customer Experience Champion: Proactively communicate with customers regarding estimated arrival times, technician bios, and any changes to their scheduled service, ensuring a transparent and reassuring experience from start to finish.
  • Technician Liaison: Maintain open, ongoing communication with field technicians regarding their availability, job status, expected completion times, and any last-minute updates or challenges.
  • Data Accuracy & Integrity: Verify and maintain the accuracy of all customer information — including names, phone numbers, service addresses, and job details — across all scheduled calls and systems.
  • Administrative Support: Perform a wide variety of administrative tasks as requested by your direct supervisor and other managers across the organization, helping to keep operations organized and efficient.
  • Cross-Functional Collaboration: Engage daily with service technicians, fellow customer service representatives, and managers, as well as a diverse customer base ranging from individual homeowners to large commercial accounts.
  • Other Duties as Assigned: Step in wherever needed to support the team and the business, embracing a flexible, can-do attitude.

Essential Qualifications

  • Education: High school diploma or equivalent (GED) required.
  • Experience: Minimum of 3 years of relevant work experience in a customer service environment — phone-based customer service experience is strongly preferred.
  • Residency: Must live in the state of Illinois and be able to commute reliably to McHenry, IL for the initial in-person training period.
  • Communication Skills: Exceptional verbal and written communication abilities, with a knack for explaining information clearly, courteously, and confidently.
  • Technical Comfort: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and the ability to learn new software platforms quickly.
  • Remote Work Readiness: A dedicated, distraction-free home office space, reliable high-speed internet, and the self-discipline to thrive in a remote work environment.
  • Schedule Flexibility: Willingness and ability to work evenings, including the full second shift schedule of Tuesday through Saturday from 3:30 PM to 12:00 AM.
  • Attention to Detail: Meticulous accuracy when entering and verifying customer and job data.
  • Multitasking Ability: Capacity to manage competing priorities, juggle multiple systems, and maintain a calm, organized workflow under pressure.
  • Interpersonal Savvy: Comfort interacting professionally with a diverse range of individuals at all organizational levels — from homeowners to field technicians to senior leadership.

Preferred (Nice-to-Have) Qualifications

  • Previous dispatch or scheduling experience, ideally in a trades or service-based industry.
  • Working knowledge of plumbing, electrical, and/or HVAC systems and terminology.
  • Familiarity with ServiceTitan, ClearPath, or similar service management/dispatching software.
