Key Responsibilities

Customer Interaction & Communication

  • Respond promptly to inbound inquiries received via phone, email, and fax, documenting each interaction in Salesforce to maintain a complete audit trail.
  • Field requests from internal teams—including sales, telesales, and distribution centers—ensuring seamless information flow across the organization.
  • Proactively reach out to assigned accounts, initiating phone or email contact to uncover hidden opportunities, understand application needs, and strengthen relationships.

Product Recommendation & Quoting

  • Recommend, quote, sample, and sell arenaflex’s VBS product line, tailoring solutions to meet specific customer requirements.
  • When VBS does not fully satisfy a customer’s need, document the gap, evaluate the economic feasibility of a custom construction, and professionally transfer the case to arenaflex’s technical community for deeper discussion.
  • Utilize the E‑price tool to generate accurate price quotes, apply appropriate discounts, and provide application sheets, product samples, and trial orders.

Order Management & Fulfillment

  • Own the end‑to‑end order fulfillment process—from order receipt through delivery and invoicing—ensuring accuracy and compliance with established procedures.
  • Enter new orders for both existing and prospective customers, verify details, and process changes or cancellations as needed.
  • Monitor open work orders, expedite pending items, and proactively notify customers of any delays, offering alternative VBS constructions when appropriate.

Logistics & Freight Coordination

  • Collaborate with arenaflex’s Shipping Departments to resolve freight and logistics questions, providing customers with clear guidance on shipping options, costs, and timelines.
  • Address and resolve information‑related complaints, implementing corrective actions in line with arenaflex’s quality standards and confirming resolution with the customer.

Continuous Improvement & Team Collaboration

  • Participate in Customer Service Improvement Teams, contributing ideas that enhance processes, reduce errors, and elevate the overall customer experience.
  • Cross‑train new employees when appropriate, sharing best practices and fostering a collaborative, knowledge‑sharing culture.
  • Assist with order entry overflow for repeat orders and support standard price quotation overflow during peak periods.

Essential Qualifications

  • Education: Bachelor’s degree in Business, Engineering, or a related field, or equivalent professional experience.
  • Experience: 1–3 years of proven customer service experience, preferably within a manufacturing environment.
  • Technical Proficiency: Demonstrated ability to navigate ERP systems; experience with Salesforce.com is a strong plus.
  • Communication Skills: Excellent verbal and written communication abilities, with a talent for translating technical details into clear, customer‑friendly language.
  • Physical Requirements: Ability to perform repetitive hand movements (typing, writing), occasional standing, walking, stooping, and reaching; comfortable working from a home office setup.
  • Availability: Must be able to support the Western U.S. region during Pacific Time Zone business hours.
