We are currently expanding our remote data operations team and are looking for a dedicated, detail-oriented Remote Data Entry Specialist to support our enterprise-level data processing needs. Position Overview

As a Remote Data Entry Specialist at arenaflex, you will play a vital role in supporting the integrity of our data systems. You will be responsible for entering, updating, verifying, and maintaining large volumes of information across multiple platforms. Your work will directly contribute to operational efficiency, reporting accuracy, and the smooth functioning of business-critical processes.

This position is ideal for someone who is self-motivated, organized, and committed to meeting daily and weekly production targets without direct supervision. You will have the flexibility to work from home, set your own schedule within agreed-upon hours, and enjoy a healthy work-life balance.

Key Responsibilities

  • Accurate Data Input and Digitization: Collect, review, and digitize a wide variety of data, including invoices, canceled bills, client account information, financial statements, inventory records, and operational reports.
  • Organized Records Management: Maintain a well-structured digital storage system to ensure every data entry is complete, accurate, and easily retrievable. This includes consistent file naming conventions and proper folder hierarchies.
  • Hard Copy and Physical Document Tracking: Log and maintain records of hard copy documents such as paper invoices, inventory checklists, shipping manifests, and other physical financial or operational documents that may need to be referenced or archived.
  • Data Quality Standards: Establish and uphold data entry standards by continually reviewing and improving filing systems, input processes, and validation methods to ensure top-tier data quality.
  • Error Resolution and Collaboration: Proactively identify data inconsistencies and collaborate with administrative staff, department leads, and other team members to locate, correct, and document missing or inaccurate information.
  • Query Handling and Reporting: Respond promptly to data queries from internal stakeholders, and escalate any major data errors or systemic issues to management in a clear and timely manner.
  • Best Practices and Compliance: Follow established best practices for data management, including data privacy protocols, security guidelines, and confidentiality standards to protect sensitive business and client information.
  • EMR Data Entry: Perform data entry tasks within Electronic Medical Record (EMR) systems or similar industry-standard platforms as required by specific client projects.
  • Daily Audits and Corrections: Conduct routine audits of entered data, identify discrepancies, delete erroneous entries, and input corrections with a high degree of precision.
  • High-Volume Processing: Handle high-volume data entry assignments efficiently, meeting or exceeding daily productivity targets while maintaining exceptional accuracy.
  • Application and Order Processing: Enter data for new applications, credit transactions, orders, and customer accounts across various business systems.
  • Administrative Support: Provide entry-level administrative support to the broader data entry function, including faxing, scanning, photocopying, and preparing information for entry.
  • Timely File Management: Ensure all data is entered, filed, and managed in a timely manner to support downstream processes such as reporting, billing, and analytics.
  • Training and Onboarding Support: Assist with training new data entry employees on computer systems, software platforms, and arenaflex’s standard operating procedures.
  • Verification Duties: Operate data entry devices and perform keypunching, verification, and validation duties to ensure data integrity before final submission.
  • Client-Specific Protocols: Follow established data entry protocols for each client project, including customized fields, validation rules, and reporting requirements.
  • Pre-Entry Review: Review and verify all source data prior to entry to catch potential errors early and minimize downstream corrections.

Essential Qualifications

  • Educational Background: A high school diploma or GED equivalent is required.
  • Professional Experience: At least one year of prior experience working as a data entry specialist, administrative assistant, or in a similar role involving significant keyboard-based data input.
  • Software Proficiency: Excellent working knowledge of modern data entry software and platforms, such as Ninox, Kintone, Om Prompt Order Management, and similar tools used for business process management.
  • Typing Speed and Accuracy: A strong typing speed (typically 50+ words per minute) with a proven track record of maintaining high accuracy on repetitive tasks.
  • Computer Literacy: Solid working knowledge of Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and standard web-based applications.
  • Attention to Detail: Exceptional attention to detail with the ability to spot inconsistencies, missing information, and formatting errors.
  • Time Management: Demonstrated ability to manage time effectively, prioritize tasks, and meet deadlines in a remote work environment.
  • Self-Discipline: The ability to stay focused, motivated, and productive while working independently from a home office.
  • Reliable Internet and Equipment: A stable high-speed internet connection and a reliable personal computer suitable for handling daily data entry workloads.

Preferred Qualifications

  • Prior experience working remotely or in a virtual team environment.
