Office & Operations Coordinator
Purpose Unlimited is an independent financial services company focused on customer-centric innovation through technology-driven solutions. The Office & Operations Coordinator will manage the day-to-day operational environment across the Vancouver offices, providing client services and supporting office operations.
Responsibilities
- Serve as the primary point of contact for clients, visitors, and callers across both Vancouver offices
- Maintain a professional, organized, and welcoming front-of-house environment consistent with Purpose Unlimited’s standards
- Handle unexpected situations and competing priorities with sound judgment and minimal Escalation
- Own the operational continuity of both Vancouver offices, including vendor relationships, shared spaces, meeting logistics, and general upkeep
- Oversee AI-assisted workflows for supply management, scheduling coordination, and routine documentation – reviewing outputs, managing exceptions, and escalating where required
- Support operational continuity during periods of change, increased activity, or shifting Priorities
- Assist Investor Specialists with new client account applications, non-financial account updates, and related documentation
- Coordinate follow-up with clients and prospective clients on outstanding documentation and administrative requests
- Support inbound phone coverage and general client service coordination as needed
- Assist with processing, tracking, and filing of operational documentation across mail, courier, and electronic records
- Support account transfer processes, including submission and follow-up of transfer requests to and from institutions
- Review and reconcile reports to help validate accuracy between systems and processes
- Provide flexible administrative support across departments as business needs evolve
Skills
- Experience in office coordination, administrative support, or workplace operations in a professional environment
- Comfort working in a dynamic environment where priorities and responsibilities may evolve over time
- Strong organizational and prioritization skills, with the ability to manage competing demands independently
- Sound judgment – knows when to act, when to escalate, and when to ask
- Comfort working alongside AI-assisted tools and evolving administrative systems
- Strong written and verbal communication in English
- High attention to detail and consistent follow-through
- Experience in financial services or a regulated, client-facing environment
- Bilingualism in French and English
