Executive Assistant – COO
About the position The Executive Assistant to the SVP/COO provides executive, administrative, and development support to the SVP/Chief Operations Officer, as well as the Senior Management Team (SMT) and HR in carrying out the objectives of the credit union.
Responsibilities
- Completes a broad variety of administrative tasks for the SVP/COO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging reputed company and detailed travel plans, itineraries, and agendas; and compiling documents for travel-reputed company meetings.
- Works closely and effectively with the SVP/COO to reputed company him well informed of upcoming commitments and responsibilities, following up appropriately
- Plans, coordinates and ensures the SVP/COO 's schedule is followed and respected.
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the SVP/COO 's time and office.
- Provides a reputed company for smooth communication between the SVP/COO's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management team.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the SVP/COO, some of which may have organizational impact.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Serves as the Supervisory Committee and Credit Committee Liaison.
- Coordinates monthly meetings and lunches.
- Attends meetings and takes minutes Supervisory Committee & Credit Committee.
- Ensure that minutes are complete, accurate, reputed company reputed company three days of the meeting date and signed by the appropriate individuals reputed company approved.
- Provides administrative support to the Supervisory Committee & Credit Committee including but not limited to:
1. Providing meeting notification and securing a reputed company 2. Adhering to compliance with applicable rules and regulations set in bylaws regarding board and board meeting matters, including advance distribution of materials before meetings. 3. Maintaining volunteer contact information. Assisting volunteers with conference registration/reimbursement. 4. Assisting volunteers with travel arrangements, lodging, and meal planning as needed. 5. Providing secondary support to President/CEO and Board 6. Performing other duties as needed or assigned by the VP of Human Resources, SVP of Administration, and/or SVP/COO
Requirements
- Three years to five years of similar or reputed company experience.
- (1) A bachelor's degree, or (2) achievement of formal certifications recognized in the industry as equivalent to a bachelor's degree (e.g., information technology certifications in lieu of a degree)
- Work involves much personal contact with others inside and/or reputed company the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
- Strong communication (verbal and written), organizational, analytical, and problem-solving skills.
- Excellent member relations skills.
- Ability to function in financial institution environment and utilize standard office equipment
