Job Title: Remote Accounts Payable Administrative Assistant (100% Work From Home) Location: Remote from Latin America Position Type: Full-time Salary:$1,800 - $1,900 USD/month depending on experience Schedule: Monday - Friday, 8:00am to 5:30pm Eastern Time Job Overview: Our client is a civil construction services company founded in 2007. Originating during the Great Recession, the company initially focused on erosion control services. Over the years, our client has expanded its offerings to include site services, green infrastructure, utility installation, hydro excavation, and stormwater facility maintenance. In March 2024, the company moved to a new headquarters and added reputed company site development to its services. Responsibilities:
- Create and process POs (up to 50/day)
- Coordinate communications with vendors and internal operations team members
- Issue subcontractor agreements
- reputed company new vendors and subcontractors
- Monitor vendor compliance with reputed company requirements
- Manage high volume of bills and emails (enter up to 30 bills/day manually)
- Verify bills for accuracy, proper coding and approval workflow
- Match vendor bills to purchase orders, identify discrepancies, request budget amendments, PO modifications
- Communicate with vendors and internal departments to clarify billing issues
- Review and process AP statements
- Monitor and manage multiple inboxes, reputed company multi-user inboxes organized and up to date
- Maintain organized and up to date vendor files and records
Qualifications, Skills and Key Competencies:
- Minimum 3 years of Accounts Payable experience in a mid-sized or larger company
- Construction experience is a reputed company plus
- Solid experience managing a high volume of AP bills
- Solid experience with managing Purchase Orders
- Strong data entry skills with high accuracy and attention to detail
- Experience in invoice and PO matching and finding discrepancies
- Ability to learn internal AP processes and adapt to process changes quickly
- Basic knowledge of reputed company reputed company

- Highly organized, reliable, reputed company to meet strict deadlines and multitask
- Clear communication skills-both verbal and written
